Before continuing to use this website, we recommend that you read the terms and conditions.

For the purposes of this document, the terms “we”, “us” and “our” refers to EasyMediaUK Limited, intellectual property owners of Harmony Management Information System. The term “you” refers to the viewer or user of our website.

Continued use of our website implies that you agree to terms and conditions detailed in this document. If you do not agree fully with these terms and conditions, please do not use our website. The following terms and conditions, together with our privacy policy, govern our relationship with you in relation to this website.

Any individual deemed to be breaching these terms may be liable to have their account terminated at the discretion of our system administrators.

Autonomous Digital own, or have licensed to them, all content on this website, where not explicitly stated otherwise. This includes, but is not limited to, the layout, design, graphics and text content. Reproduction of any of the content on this website is strictly prohibited. We only provide written consent where this is not the case.

Use of Services

Creating an Account

In order to make full use of our services, you will have to register an account by filling in the Account Registration form. Filling in this form and subsequently agreeing to the terms and conditions expressed on this page, means you also acknowledge and consent to the data you provide being stored as outlined in our Privacy Policy.

Acceptance of Cookies

In order to use the Harmony service, you are required to accept cookies as outlined in our Cookie Policy. These cookies are necessary to maintaining active logins and our system will not be accessible if you reject cookies.

Accuracy and Integrity of Information

While we strive to make Harmony as accurate as we can for your company, we cannot guarantee that it will always be perfect. The statistics we provide to you can only be as accurate at the information that you provide to us.

For example, if you do not accurately enter a user’s hourly rate, the profits for any job which that user has worked on will not be true to the real figure.

To protect the integrity of information, we limit what you can and cannot edit after information has been entered. The purpose of this is to prevent users from purposely deleting or changing things which may adversely affect their company statistics. For example, once the phase of a job has hours logged against it, you will no longer be able to delete that phase.

While you can do most of your accounting work on our system, we do not recommend that you use it as a replacement for any purpose-built accounting tools. We do not accept any responsibility or liability for the accuracy, content, completeness, legality or reliability of the information contained on the Harmony service.

Protection of Data

Our Privacy Policy governs the way we handle the protection of your personal and company information. None of your data is visible to system administrators, except that which is critical to providing our services to you, such as your company name and contact details, and the users associated with it.

We reserve the right to scan all uploaded attachments for viruses and periodically scan for any potentially offensive content, which is outlined below. We also reserve the right to hand over any data to the necessary authorities which may aid investigations for criminal or civil proceedings.

Malicious/Offensive Data Transfers

We make every effort to protect our system from the transfer of malicious data. In all cases, while we allow HTML and JavaScript data to be transferred into our databases, we only ever output this data as plain text rather than executable code.

We allow the use of attachments to some of our modules, to help you share files with your colleagues and your clients. We recommend caution when downloading any attachments, regardless of whether you trust the source.

We do not accept liability for any damage caused through malicious data transfers or file attachments. Any user who is found to be uploading malicious data or attachments will be subject to immediate account termination.

In addition to this, any user who is found to be uploading inappropriate, illegal or offensive data or attachments will also be subject to account termination. The Harmony system is a professional business service, and our system will never cater to any individual who uses the system for purposes to the contrary.

Shared Accounts

Access to any given user account is intended for the person who opened the account only. We do not permit multiple people to share a single user account, and where we have reasonable belief that this is the case, this will be considered unauthorised access and will be subject to the conditions listed under the Unauthorised Access section of these terms.

We reserve the right to invoice users for payment where we find them to be sharing an account to avoid going over their free tier user cap.

Companies House API

Some pages offer the ability to import data directly from the Companies House database. This is solely for the purpose of saving time and we are not liable for the accuracy of the data which comes from this source.

By using the Companies House API facility, you are bound by their terms of service, which can be found here:

Unauthorised Access

Unauthorised access to the Harmony system is strictly prohibited by The Computer Misuse Act 1990. Any users who are found to be accessing the service through unauthorised means will have their account terminated with immediate effect and may be liable for prosecution.

Your use of the Harmony service and any dispute arising out of such use of the system is subject to the laws of England, Scotland, Wales and Northern Ireland.

Payment for Services

An invoice will be automatically generated one calendar month after your company profile is first created for the first month of use. This process will automatically repeat every calendar month thereafter, known as a “billing period”, until your company cancels its subscription to the service.

GoCardless

Payment shall be taken by Direct Debit, set up through the GoCardless service. Before using this service, you should familiarise yourself with the GoCardless terms, which can be found here:

Request for payment will be made on the invoice date listed on the document produced for a given billing period. We will then attempt to take payment on the due date listed on the same document, usually 7 working days later, however this may vary due to public holidays, and may vary from bank to bank.

Payments will be made to EasyMediaUK Limited, owners of the Harmony brand and all associated intellectual property. Registered in England and Wales no. 11772715,

Billing Plan

When you sign up to Harmony, you will automatically be placed on the billing plan which was advertised on our website at the time. In most cases, we will attempt to keep you on this plan for as long as feasible, however we reserve the right to change your plan for any reason.

In the rare cases where we must make a change to your billing plan, we will notify you in advance by email and give you the opportunity to cancel your subscription free of charge.

Active Users

Your bill for a given period will be based on the number of active users during that period. At the start of the billing period, we will count all your company users whose account is in the “enabled” state. Any users who are added to your account during a given period will also be billable, as well as any users who are switched from the “disabled” state to the “enabled” state.

All users who are in the “enabled” state at any point during the billing period will be considered billable, regardless of whether they sign into their account and use it, and regardless of how long they were in the “enabled” state for. For clarity, you will always be able to track who has been active during this billing period on the “Settings” module under the “Users & Permissions” tab. We will also list all billable users on your invoice at the end of the period.

To ensure that you are not billed for users who are not using their accounts, please set any inactive users to the “disabled” state before the beginning of the billing period, as we will not be able to offer a refund for any mistakes.

Failed Payment

Where payment through Direct Debit fails your company’s account will become locked and you will no longer be able to access services. At this point, you will need to contact us by telephone for us to take a payment manually. We will then unlock your company’s account as soon as payment has cleared, which may be several working days.

When your company account is locked, it will still be considered an active company and will continue to be invoiced at the end of each billing period regardless of its locked state. We strongly advise that you switch all users who are not part of your free tier to the disabled state to avoid building further arrears.

Free tier users will also not be able to access the Harmony system where payment is outstanding from their company’s account.

Terminated Accounts

Accounts which are terminated for breaking these Terms of Use will still be invoiced in full for the billing period in which their account is terminated.

Cancellation Policy

Your subscription to Harmony can be cancelled at any time. If you wish to cancel your subscription, you can call our helpline number or email our support team. Your account will remain active for the remained of the billing period in which you cancel your subscription, and you will be invoiced and charged in full for that period as per our GoCardless payment policy.

After the end of your final billing period, your company’s account will be suspended and you will no longer receive any invoices from us, except in cases where there are overdue payments from other billing periods or services.

We will retain your data for a period of 12 months from the date of your last bill in case you change your mind, in line with our Privacy Policy. After one year, we will erase all your company’s data, along with any associated user accounts which were not associated with any other companies.

General Terms

  1. The use of the Harmony service is entirely at your own risk.
  2. The service and support for it are currently only available in English.
  3. We reserve the right to terminate or remove the service at any time.
  4. Abuse or threatening behaviour towards our team will not be tolerated.
  5. We reserve the right to throttle the service of any company whose usage significantly exceeds average bandwidth (determined by the system administrators).
  6. We cannot guarantee that the service will meet your specific requirements, and any modifications or additional modules required may incur a charge.
  7. We cannot always guarantee uninterrupted or error free access to the system.
  8. We reserve the right to take the service offline for periodic maintenance where live updates may cause errors.
  9. We do not accept liability for any damages or losses incurred as a result of using Harmony, direct or otherwise.
  10. You understand that third-party vendors are used to provide the hosting and other related technologies required to run the service.
  11. You may not replicate any part of the Harmony service without our express written permission.
  12. You may not use our Developer API for any purposes which we may deem damaging to the operation or reputation of the Harmony service.
  13. You may not claim any relation or association with Harmony, Autonomous Digital or their brands without express written permission.

Our Rights

We reserve the right to change these terms and conditions, along with our privacy policy, at any time in accordance with the law of the United Kingdom of Great Britain and Northern Ireland. Last policy update: 21st June 2019.
